Invite members

Inviting new members to ClarityLoop is simple and flexible. Workspace owners can invite individuals with the option to assign titles, managers, and levels during the invitation process.

This guide explains how to invite members, manage pending invitations, and what happens after an invite is sent.

How to invite new members​

To invite members:

  1. Click Workspace name on the top bar or sidebar.
  2. Click Invite Member.
  3. Enter the email address(es) of the individuals you want to invite.

Optional fields you can fill in during the invite:

  • Title: Assign a job title like Software Engineer or Product Manager. (You can update this later if needed.)
  • Manager: Select the person they report to. (This is optional and can be added later.)
  • Level: Assign a level based on your career framework. (If no framework exists, this can be skipped and added later.)
  • Role: Choose Owner or Member. (The default is Member unless specified.)
  1. Click Send.

What happens next?

  • The invitees will receive an email with a link to join your workspace.
  • They appear under pending invites, until they accept the invitation.
  • Once accepted, they appear in the Members list as Active.

Managing pending invitations​

Pending invitations are visible in the Pending Invites section.
Resend invite: If a member hasn't accepted, click the Resend icon.

Updating member details after inviting​

If you skipped assigning a title, manager, or level during the invitation, you can update these later:

  1. Go to Workspace Settings > Members.
  2. Find the member in the list.
  3. Click the edit icon next to the field you want to update.
  4. Make the necessary changes.

Changes apply immediately.

Understanding roles when inviting​

ClarityLoop provides two roles when inviting members:

RoleDescription
OwnerFull access to all settings, including member management, integrations, and workspace settings.
MemberCan give and receive feedback, participate in 1:1s, view insights, and track objectives.

Key points:

  • The first user to create the workspace is assigned the Owner role.
  • Owners can promote other members to Owner if needed.

What invited members see​

When members receive an invitation, here's what the process looks like for them:

  1. They get an email from ClarityLoop with the subject: "Invitation to join [Workspace Name] on ClarityLoop".
  2. Clicking the Join Workspace button takes them to the sign-up page.
  3. If they don’t have a ClarityLoop account, they’ll need to create one.
  4. If they already have an account, they'll be added to the workspace immediately.

FAQs​

Can we invite someone who already uses ClarityLoop in another workspace?
Yes, users can belong to multiple workspaces. They’ll see all their workspaces listed when logging in.

What happens if I assign a level but the career framework isn’t ready?
If no framework is set up, the Level field will remain empty. You can update it later once the framework is in place.

What if someone doesn’t get the invite email?

  • Ask them to check their spam folder.
  • If not found, go to Pending Invites and click Resend icon.

Can I invite contractors or external collaborators?
Yes. Just enter their email like you would for any member.
