Members and roles
ClarityLoop allows workspace owners to manage members and assign roles to control access and responsibilities within the platform. This guide explains how to invite, manage, and deactivate members, as well as how roles and permissions work.
Accessing member management​
To manage members:
- Click Workspace name on the top bar or sidebar.
- Go to the Members section.
Here, you can view the full list of workspace members, their roles, and status.
Inviting new members​
To add new team members:
- Click Workspace name on the top bar or sidebar.
- Click Invite Member.
- Enter the email address(es) of the people you'd like to invite.
- (Optional) Fill in the following fields:
- Role: Choose between Owner or Member.
- Title: Add a job title (e.g., Software Engineer or Product Manager). (This can be updated later if you're unsure.)
- Manager: Select the person they report to. (This can also be updated later.)
- Level: Assign a career level if the framework has been set up. (If no framework exists, this can be added later.)
- Click Send.
What happens next?
- Invitees receive an email with a link to join the workspace.
- They appear under pending invites, until they accept the invitation.

Viewing and managing members​

The Members section displays all workspace members, along with:
- Name
- Role
- Status (Active/Inactive)
Available actions:
- Update role: Change a member's role at any time.
- Assign or change title: Add or edit a member's title after invitation.
- Assign or update manager: Update a member’s manager to reflect organizational changes.
- Assign level (if applicable): If a career framework exists, assign or update a member’s level.
- Deactivate member: Remove access to the workspace without deleting data.
- Reinvite member: Resend an invitation if it's been missed.
How to update a member's details:
- Locate the member in the list.
- Click the edit icon to update title, manager, or level. Or update status/role.
- Make the necessary changes.
- Changes apply immediately.
Understanding roles and permissions​
ClarityLoop provides two roles to manage access and functionality:
Role | Description |
---|---|
Owner | Full access to all settings, including member management, integrations, and workspace settings. |
Member | Can give and receive feedback, participate in 1:1s, view insights, and track objectives. |
Key points:
- The first user to create the workspace is assigned the Owner role.
- Owners can promote other members to Owner if needed.
- Roles can be changed anytime from Workspace Settings > Members.
Deactivating or removing members​
Deactivating a member removes their access but retains their historical feedback and contributions.
How to deactivate a member:
- Go to Workspace Settings > Members.
- Find the member you want to deactivate.
- Click the Inactive toggle.
- Confirm the action.
What happens when a member is deactivated?
- They lose immediate access to the workspace.
- Their name remains visible in past feedback, 1:1s, and performance data.
- You can reactivate them later if needed.
FAQs​
What if the career framework isn't ready yet?
You can invite members without assigning levels. Once the framework is in place, levels can be updated later from the Workspace settings > Members page.
Can I assign or change a manager later?
Yes, you can add or update a member's manager anytime from the same interface.
Can we assign multiple roles to one person?
No. Each member can have only one role at a time.
What happens if the last owner leaves?
Before an owner leaves, they should assign ownership to someone else. If that hasn't happened, contact support@clarityloop.com.
