Invite members

Inviting people is not just an access step. It is where you start shaping roles, reporting lines, and how quickly the workspace becomes useful.

Decide what to set now and what can wait​

Four fields matter most when you invite someone:

  • Role: use Member by default. Reserve Owner for people who should manage shared settings, members, and integrations.
  • Manager: set this when you already know the reporting line. It helps manager views and follow-through start cleanly. The selected manager must already be an active workspace member.
  • Level: set this only if your career framework is already in place and you are confident in the assignment.
  • Title: useful for clarity, but lower risk than role, manager, or level.

If you are unsure about level or title, it is usually better to leave them blank than to guess.

Send the invite with the right defaults​

  1. Open Workspace Settings.
  2. Choose Invite Member.
  3. Enter the email address and any role, manager, title, or level details you want to set from the start.
  4. Send the invite.

If the email address is outside the workspace's allowed domains, ClarityLoop asks you to confirm before sending. That gives you a chance to catch accidental external invites without blocking intentional ones.

What happens after you send it​

  • The invite stays in Pending Invites until the person accepts.
  • If you resend a pending invite, ClarityLoop sends a fresh invite email and updates the saved role, manager, title, or level at the same time.
  • Someone who already uses ClarityLoop can join this workspace with the same account. They do not need a separate account for each workspace.

If the workspace uses SSO, the invite still goes out normally. The person will simply sign in through the SSO path for that workspace when they join.

Keep invites easy to trust​

  • Default to Member unless someone really needs owner access.
  • Invite or activate managers before assigning them to other people.
  • Leave level blank until your framework is ready and the assignment is clear.
  • Review Pending Invites regularly so the workspace does not fill up with stale invitations.

FAQs​

Can I invite contractors or other external collaborators?

Yes. Invites outside the allowed domains are supported, but ClarityLoop asks for confirmation before sending them.

Can I change the invite details after sending the first invite?

Yes. Resending the invite updates the saved details as well as sending the email again.

Can someone who already uses ClarityLoop join this workspace too?

Yes. One person can belong to multiple workspaces.

Can I invite someone before the career framework is ready?

Yes. Leave level blank and assign it later.
