Attendance System

HR+ Attendance brings together daily time entries, shift plans, and correction workflows so managers and HR can keep an accurate record without juggling spreadsheets. The tools you see depend on your permissions, but the overall flow is the same: capture time, review exceptions, and reconcile the month.

  • Attendance › Dashboard – Real-time cards for today’s attendance rate, on-time arrivals, late or early departures (when enabled), plus charts for hours and pending approvals.
  • Attendance › Attendances – Detailed table of daily records with filters, bulk updates, and export tools.
  • Attendance › Attendance Requests – Queue of manual corrections raised by employees or managers.
  • Attendance › Hour Account – Monthly hour summaries (worked, pending, overtime) for each person.
  • Attendance › Work Records – View consolidated daily records when you track multiple in/out punches.
  • Attendance › Attendance Activities – Inspect raw check-in/out events for troubleshooting.
  • Attendance › Late Come Early Out – Monitor rule breaches when the feature is switched on.
  • Attendance › My Attendances – Personal view for employees to check their own timesheet.

Initial setup

  1. Confirm work schedules – Make sure shifts, work types, and public holidays are defined in the base settings (via the Employee and Leave workspaces). Accurate schedules drive late/early calculations and minimum-hours rules.
  2. Pick your capture methods – HR+ supports manual entry, batch imports, biometric integrations, and web/mobile check-ins. If you need real-time capture (web check-in, geofencing, or biometrics), email support@clarityloop.com so we can enable the connectors for your workspace.
  3. Train managers – Explain where to find the Attendance table, how to filter by their team, and how to approve or reject correction requests quickly.

Recording time

  • Manual entries – Admins or managers can add or edit records directly in Attendance › Attendances. Use the “Create” button for a new line or the quick actions to adjust existing ones.
  • Batch updates – Upload multiple days at once from the “Batch Attendance” option when you import from an external system.
  • Check-in/out devices – When devices or web check-in are in use, punches flow into Attendance Activities automatically and then consolidate into the daily attendance record.
  • Rotating shifts and work types – Combine attendance with the rotating assignments from the Employee workspace to keep schedules accurate despite frequent changes.

Managing exceptions

  • Attendance Requests – Employees raise corrections here (missed punch, wrong shift, etc.). Each request shows the original record, the proposed change, and supporting comments. Approve to update the daily record or reject with feedback.
  • Late/Early tracking – When the feature is enabled, the Late Come Early Out screen lists violations based on the shift rules. Use it to coach frequent offenders or trigger disciplinary follow-up.
  • Hour accounts – Review monthly balances (worked vs. minimum hours vs. overtime) in Hour Account. Filters let you target a specific employee or month, and the data feeds payroll where applicable.

Monitoring and reporting

  • Dashboard – Check the dashboard at the start of each day to understand who is present, who is late, and how many requests still need action.
  • Work records – Use this view when you collect multiple punches (e.g., start/end breaks) and need the full audit trail.
  • Exports – From the Attendances table, download filtered datasets for payroll or compliance audits. The export respects your current filters so you can focus on a department, location, or time period.

Tips for smooth operations

  • Encourage employees to review My Attendances weekly so corrections happen early in the payroll cycle.
  • Approve or reject pending requests before the month closes; it keeps hour accounts accurate and reduces manual payroll adjustments.
  • Pair attendance dashboards with Leave Management so approved leave automatically explains absences.
  • If you spot missing punches from a device, check Attendance Activities first—raw events usually reveal whether the issue is hardware, connectivity, or a configuration setting.

Consistent use of these tools keeps your attendance data trustworthy, which in turn makes leave reconciliation, overtime calculations, and payroll far easier.
