Employee Management

HR+ automatically mirrors the people in your ClarityLoop workspace and keeps their profiles in sync. Use this workspace to enrich personal details, manage documents, handle shift or work-type requests, and stay on top of disciplinary follow-up. Deactivate or remove teammates from the main ClarityLoop workspace—HR+ reflects those changes instantly.

Key screens

  • Employee › Profile – Review your own information, documents, bank details, and requests.
  • Employee › Employees – Full directory with filters, bulk actions, and profile editing for people you support.
  • Employee › Document Requests / Shift Requests / Work Type Requests – Track open requests and respond quickly.
  • Employee › Rotating Shift Assign / Rotating Work Type Assign – Set recurring schedules where rostered work is required.
  • Employee › Disciplinary Actions – Record warnings, suspensions, or login blocks with supporting evidence.
  • Employee › Policies & Organisation Chart – Share key policies and visualise reporting lines.

First-time setup

  1. Open Employee › Employees and spot-check a few profiles to confirm names, emails, and managers imported correctly.
  2. Add any missing details you need for operations, such as phone numbers or emergency contacts.
  3. Review each person’s work information (employee type, work type, shift, work location) so future attendance and payroll workflows stay accurate.
  4. If you rely on bank details for payroll, capture the bank name, account number, and routing codes while you’re setting up.

Maintain complete profiles

Keeping profiles current makes downstream processes smoother:

  • Personal information – Update addresses, phone numbers, dates of birth, and emergency contacts as soon as employees share changes.
  • Work information – Use the Work Information tab to assign work types (onsite, remote, hybrid), main work locations, work phones, and contract dates.
  • Compensation fields – Record basic salary or hourly rate if you use this data in payroll reporting. Formal contracts still live in the Payroll workspace.

Handle employee requests

  • Document uploads – Employees can upload their own documents under Employee › Profile › Documents. You can also request specific files (visa copy, certifications, etc.) from Document Requests with file-type and size guidance.
  • Shift & work-type changes – Employees submit requests when they temporarily change shifts or work types. Approve or decline from the relevant queue; approved changes update the person’s profile automatically.
  • Rotating assignments – Use rotating shift or work-type assignments when people follow repeating patterns (e.g., weekly rotation). Assign the pattern once and let HR+ handle the schedule.

Support upcoming hires

  • Use the Onboarding workspace while candidates are still in the recruitment process. When they sign up for ClarityLoop and join your workspace, HR+ automatically mirrors their new employee record.

Manage policies and discipline

  • Publish or update workplace policies so everyone has a single source of truth.
  • Log disciplinary actions with a clear description, start date, and attachments. Available action types include warnings, suspensions, dismissals, and login blocks; each entry builds an auditable trail.

Tips for smooth operations

  • Encourage employees to keep their own contact details current via Employee › Profile—it reduces manual updates.
  • Use tags or categories to group employees for reporting and downstream workflows (e.g., perks or asset assignments).
  • Check the Document Requests page weekly so compliance paperwork never goes stale.
  • When someone leaves, move their exit tasks to Offboarding and remove or deactivate the person in ClarityLoop; HR+ will reflect the change automatically.

With accurate profiles, clear request queues, and documented follow-up, HR+ keeps your employee data reliable for every other workspace in the platform.
