Payroll System
The Payroll workspace in HR+ manages contracts, recurring pay components, loans, reimbursements and payslips with full visibility into company policies and tax settings. Employee information flows directly from the core directory so HR teams only enter compensation-specific data.
Payroll workspace​
- Payroll › Dashboard – Overview of active contracts, upcoming pay runs and quick-entry shortcuts.
- Payroll › Contract – Individual employee contracts with wage type, pay frequency and filing status details.
- Payroll › Allowances – Recurring or one-time earnings that supplement the base wage.
- Payroll › Deductions – Recurring or conditional deductions (including loan repayments).
- Payroll › Payslips – Generate, review, email and download payslips.
- Payroll › Loan / Advanced Salary – Track loans, advances and penalties with automatic installment schedules.
- Payroll › Encashments & Reimbursements – Manage reimbursements, leave encashment and bonus encashment requests.
- Payroll › Federal Tax – Configure filing statuses, tax brackets and currency display settings (often completed with support).
1. Set up contracts​
- Go to Payroll › Contract and create a contract for each employee.
- Capture the essentials:
- Wage Type – Monthly, Daily or Hourly (hourly appears when Attendance is enabled).
- Pay Frequency – Weekly, Semi-Monthly or Monthly.
- Compensation – Basic salary or hourly rate.
- Contract Dates – Start date and optional end/termination date.
- Status –
Draft,Active,Expired,Terminated. - Filing Status – Connects the employee to the appropriate tax brackets.
- Active contracts drive payslip generation and time-based calculations. Update a contract whenever there is a salary change to maintain an accurate history.
2. Configure allowances and deductions​
- Allowances can be fixed, one-time or condition-based (range checks or specific employee tags). You can apply them to all active employees, selected employees or those that meet stored rules.
- Deductions support similar conditional logic and can be tied to pre-tax or post-tax treatment.
- Each allowance/deduction keeps a full audit trail and can update existing payslips when you choose to apply changes retroactively.
3. Manage loans and advances​
- Create a record in Loan / Advanced Salary for the employee.
- Choose the type (
Loan,Advanced Salary,Penalty / Fine), amount, start date and number of installments. - HR+ builds the installment schedule and connects the repayments to deductions so payroll processing stays aligned.
- Mark the loan as settled when the schedule completes or you process an early payoff.
4. Process payslips​
- Open Payroll › Payslips and use Generate Payslip to create slips for a date range or a specific batch of employees.
- Validate each payslip:

Draft → Review Ongoing → Confirmed → Paid. - Review the allowance/deduction breakdown, net pay and audit history.
- Download the PDF or email the payslip directly from the list view. Employees without payroll admin rights can only see their own confirmed payslips.

- Use bulk actions to confirm, email or export multiple payslips at once.
- Need automation? Settings › Payroll › Payslip Auto Generation lets the HR team (or ClarityLoop support) configure recurring generation rules.
5. Handle reimbursements and encashments​
- Employees or HR can submit reimbursement requests (travel, expenses, etc.) under Encashments & Reimbursements.
- Leave and bonus encashment rules respect the amounts defined in Encashment General Settings.
- Approved encashments can feed directly into upcoming payslips so nothing falls through the cracks.
6. Maintain tax settings​
- Use Payroll › Federal Tax to manage filing statuses, link tax brackets and set currency display options (symbol and prefix/postfix).
- Filing statuses determine whether tax calculations are based on basic pay, gross pay or taxable gross pay.

Practical tips​
- Keep one active contract per employee; archive or end prior contracts once changes take effect.
- Use allowance and deduction condition builders to avoid manually editing payslips each cycle.
- The payslip list offers column toggles—show only the data points you need before exporting.
- Encourage employees to download payslips from HR+ instead of emailing copies externally; the system tracks delivery status automatically.
- If you integrate payroll outputs with accounting, export payslip batches with consistent group names for easy reconciliation.
