Members and roles

The Members area is where owners keep the workspace trustworthy. Good member data keeps reporting lines clear, admin access tight, and people workflows easier to trust.

Focus on the fields that change how the workspace works​

These fields matter most:

  • Role decides who can manage shared settings, members, and integrations.
  • Manager shapes reporting lines and manager-facing workflows.
  • Level matters once your career framework is in use.
  • Title makes profiles and member lists easier to read.
  • Active or Inactive status controls whether someone can still access the workspace.

If you are unsure about level or title, leaving the field blank is usually better than guessing.

Treat owner access as an operating role​

ClarityLoop has two workspace roles:

  • Owner can manage shared settings, members, and integrations.
  • Member participates in the workspace without changing the shared operating setup.

Keep the owner group small. Owner access should reflect who runs the workspace, not who is senior.

Use inactive status to remove access without losing history​

Marking someone inactive removes their current access to the workspace, but it does not erase their history.

That matters because past feedback, reviews, goals, and recognition still need to remain understandable after someone leaves the team or changes role.

If the person returns, you can reactivate them later.

Keep reporting lines current​

Manager changes are worth updating quickly. Clean reporting lines improve manager views, follow-through, and any workflow that depends on line ownership.

If HiBob is connected, ClarityLoop syncs title, manager, and onboarding data from HiBob. In that case those fields are managed in HiBob rather than edited here.

Can one person have more than one workspace role at the same time?

No. Each member has one workspace role in a given workspace.

Can I change someone's manager later?

Yes. Manager assignments can be updated from the Members area.

What happens when someone is marked inactive?

They lose access to the workspace, but their historical records remain.

Can someone be reactivated later?

Yes. Inactive members can be made active again if they should return.
